The short version: subscriptions are billed in advance and fees are non-refundable for the current period. Cancel before your next renewal date to avoid future charges. We offer a 14-day free trial so you can evaluate the Service before committing.

1. Policy Summary

TimeQuorum, LLC ("TimeQuorum") offers subscription-based access to the TimeQuorum time tracking platform. This Refund and Cancellation Policy is part of our Terms of Service and governs all billing transactions.

Key principles:

  • Subscription fees are charged in advance (monthly or annually) and are non-refundable for the current billing period except as described in Section 8 and Section 9.
  • You may cancel at any time; cancellation prevents future charges but does not entitle you to a refund of fees already paid.
  • A 14-day free trial lets you evaluate paid plans without any financial commitment.
  • Annual plan subscribers who cancel may receive a prorated refund for unused complete months, at TimeQuorum's discretion, as described in Section 4.

2. Free Trial

Starter and Professional plans include a 14-day free trial period. No credit card is required to begin a trial. During the trial:

  • You have full access to all features included in the plan you are trialing.
  • No charge is made to any payment method.
  • You may cancel at any time during the trial with no obligation.

At the end of the 14-day trial period, your workspace will automatically revert to the Free plan unless you have added a payment method and elected to continue with a paid plan. There is no automatic charge at the end of a trial.

One free trial per organization. Creating multiple workspace registrations to obtain additional trial periods is a violation of our Terms of Service and may result in account termination.

3. Monthly Billing Cancellation

Monthly subscriptions are billed on the same date each month (the "billing date"), in advance for the upcoming month.

No Refund

Cancellation mid-month

If you cancel after your billing date, you will retain access to the Service until the end of the current paid period. No refund is issued for the remaining days in that billing period. Your subscription will not renew at the next billing date.

No Charge

Cancellation before renewal

If you cancel before your next billing date, you will not be charged for the following month. Access continues until the end of the current paid period.

After cancellation, your workspace will remain accessible until the end of the paid period. At that point, the workspace reverts to the Free plan (subject to Free plan limits) or is suspended if your usage exceeds Free plan limits.

4. Annual Billing Cancellation

Annual subscriptions are billed once per year in advance and receive a 15% discount versus monthly billing.

No Refund

Standard cancellation (within first 30 days)

If you cancel an annual subscription, no refund is provided by default. You retain access for the remainder of the annual term.

Prorated Refund Considered

Early cancellation after 30 days — discretionary prorated refund

If you cancel an annual subscription after 30 days with more than 2 complete months remaining in the term, you may request a prorated refund for the unused complete months. Refund requests must be submitted to [email protected]. We will evaluate requests within 10 business days. Prorated refunds are calculated as: (unused complete months / 12) × annual fee paid, minus an administrative processing fee of $15. This is a discretionary refund and is not guaranteed.

Annual subscriptions auto-renew unless cancelled before the renewal date. We will send a renewal reminder email 30 days before your annual renewal date.

5. Seat Changes

5.1 Adding Seats

When you increase the number of seats on your subscription, the additional seats are billed immediately on a prorated basis for the remainder of the current billing period. The full seat count applies on the next billing date.

5.2 Reducing Seats

When you decrease the number of seats, the reduction takes effect at the start of the next billing period. No credit or refund is issued for the current billing period. You cannot reduce seat count below the number of active users currently in your workspace; you must deactivate or remove users first.

6. Plan Downgrade and Cleanup Window

You may downgrade your plan tier (e.g., Professional to Starter, or Starter to Free) at any time through your workspace billing settings.

6.1 Immediate Downgrade

If your workspace usage (user count, features in use) falls within the limits of the target lower plan, the downgrade takes effect immediately. No refund is issued for the current billing period; you retain access to current-tier features until your next billing date.

6.2 Cleanup Window

If your current usage exceeds the limits of the target plan (for example, you have more than 5 seats and want to downgrade to a plan that includes only 5 seats), the downgrade cannot be applied immediately. You will be shown a list of violations (e.g., "you must reduce to 5 seats"). You may:

  • Resolve the violations and retry: Reduce your usage to within the target plan's limits, then re-submit the downgrade request.
  • Accept a 30-day cleanup window: Choose to commit to the downgrade and receive a 30-day period to bring usage within the new plan's limits. During the cleanup window, your workspace continues to operate at your current plan with no additional charge. At day 30, if usage fits the target plan, the downgrade is applied automatically. If usage still exceeds limits at day 30, your workspace will be suspended until you resolve the violations or upgrade your plan.

The cleanup window is offered at no additional charge as a courtesy. It is available once per plan tier per 12-month period.

7. How to Cancel

To cancel your subscription:

  1. Log in to your portal account at timequorum.com
  2. Navigate to your workspace settings via the portal
  3. Select Billing from the settings menu
  4. Click Cancel Subscription and confirm your cancellation

Cancellation is effective immediately and prevents future charges. You will receive a cancellation confirmation email. Your workspace access continues until the end of the current paid period.

If you experience difficulty cancelling through the portal, contact us at [email protected] and we will process your cancellation manually within 1 business day. Cancellation requests received by email are valid; no refund of the current period applies.

To permanently delete your workspace and all associated data, submit a deletion request to [email protected] after cancelling your subscription.

8. Exceptional Circumstances

We recognize that unusual situations arise. TimeQuorum may, at its sole discretion, issue full or partial refunds in the following circumstances:

  • Billing error: If you were charged incorrectly due to a system error on our part, we will refund the overcharge promptly.
  • Service outage: If the Service experiences a prolonged outage (exceeding 24 consecutive hours) that materially prevents your use of the Service during a paid billing period, you may request a prorated credit for the affected period.
  • Duplicate charge: If you were charged twice for the same billing period, we will refund the duplicate charge immediately.
  • Unauthorized transaction: If you notify us within 30 days of a charge that you believe was unauthorized or made in error, we will investigate and refund where appropriate.

Refund requests for exceptional circumstances must be submitted to [email protected] within 30 days of the charge. Include your account email address, the transaction date, and the reason for your request. We aim to respond within 5 business days.

9. Termination by TimeQuorum

If TimeQuorum terminates your account for a violation of our Terms of Service (including prohibited conduct), no refund will be issued for any prepaid fees.

If TimeQuorum discontinues the Service or your account is terminated for business reasons (not due to your breach), we will provide at least 30 days' notice and refund any prepaid fees covering service periods after the effective termination date on a prorated basis.
